Add a Template, Workflow, or DataSource to your other accounts

Learn how to send a published Template, Workflow, or DataSource to the other GoFormz accounts you administer.

Account Transfer lets you send a copy of a published Template, Workflow, or DataSource from one account you administer to another. Access the Actions menu on any published item, click Add to Another Account, select the accounts that should receive a copy, and click Add. Your original never leaves the account you sent it from, and an admin in each receiving account reviews the copy before it becomes part of their account. Account Transfer is available on Enterprise plans to Independent Users.

Stop rebuilding the same work in account after account. When you administer more than one GoFormz account, Account Transfer lets you build a Template, Workflow, or DataSource once, publish it, and send a copy wherever it's needed.

With Account Transfer and as an Independent User, you can. . .

  • Send a copy of any published Template, Workflow, or DataSource to one or more of the accounts you administer,

  • Review what another account has sent you before any of it reaches your account,

  • Choose the folder each Template lands in,

  • Decline a Template you don't want, without affecting the account that sent it.

As an example, you manage three regional accounts: "West Coast Operations", "East Coast Division", and "Midwest Regional". You've spent the morning perfecting a Template named "Field Service Work Order" in "West Coast Operations", and you want the other two regions using the same one.

In "West Coast Operations", you'd publish "Field Service Work Order", then access its Actions menu and click Add to Another Account. You'd select "East Coast Division" and "Midwest Regional", then click Add. Your copy in "West Coast Operations" is untouched.

Now you'd switch to "East Coast Division" and open Account Transfer. You'd find "Field Service Work Order" waiting on the Templates tab, with "West Coast Operations" shown under Sent From. You'd open it, look it over in the Template Editor, click Accept, and file it in your "Work Orders" folder. It's saved there as a draft, ready for you to publish. You'd then repeat that review in "Midwest Regional".

Workflows and DataSources work exactly the same way. You'd send them from their own tabs, and review them on the Workflows and DataSources tabs of the Account Transfer page.

🗒️ Note: Account Transfer is available on Enterprise plans. To send an item, you'll need. . .

  • An Enterprise plan

  • Independent User status

  • Admin permission in the account you're sending from

  • Admin permission in at least one other account

  • A Template, Workflow, or DataSource with at least one published version.

Reviewing a Template that's been sent to you requires admin permission in the receiving account. If you don't see Account Transfer in your account settings, contact your GoFormz account manager.

Send a Template, Workflow, or DataSource

When you're ready, open the web app and navigate to the tab holding what you want to send: Templates, Workflows, or DataSources.

  1. Find the item you want to send and access its Actions menu. The item's action menu will appear. If you don't see Add to Another Account, the item has never been published, and you'll need to publish it first.

  2. Click Add to Another Account. The Add to Another Account window will appear, listing every account where you hold admin permission.

  3. Select the checkbox beside each account that should receive a copy. Use Search accounts to find an account by name, or select the checkbox in the Account name header row to select every account at once.

  4. Click Add. A confirmation message will appear naming the item and the number of accounts it went to.

What Account Transfer sends

Account Transfer always sends the most recently published version. If you've edited a Template, Workflow, or DataSource since you last published it, those unpublished changes stay behind in the account you're sending from, and the receiving account gets the published version instead.

An item needs at least one published version before it can be sent. Add to Another Account doesn't appear in the Actions menu for something you've never published.

Sending doesn't move anything. Your original stays exactly where it is, and the receiving account gets a separate copy that they own from the moment they accept it.

What happens on the receiving end

What you send is pending until an admin in the receiving account reviews it. Pending items aren't in that account's Templates, Workflows, or DataSources tabs yet, and are only visible on their Account Transfer page.

To review one, they'll open it in its own editor: Templates open in the Template Editor, Workflows in the Workflow Editor, and DataSources in DataSources. From there they'll click Accept, choose a destination folder, and save it as a draft in their account.

🗒️ Note: A Workflow points at specific Templates, DataSources, and Connected Apps, and those live in the account it came from. After accepting a Workflow, you'll need to re-select its dynamic inputs before you publish it. Sending a Workflow doesn't bring the items it references along with it, so send those separately if the receiving account doesn't have them yet.

Admins in the receiving account aren't notified when something arrives, so tell them to expect it.

Where to find Account Transfer

You'll send items from the Templates, Workflows, and DataSources tabs, using the Actions menu on any published item.

You'll review what's been sent to you on the Account Transfer page. Access your profile menu, click Settings, then click Account Transfer.
