Set up an “Upload submitted Public Form to Box” Workflow recipe

Set up a Workflow recipe to automatically upload a Public Form submission to your connected Box account.

With the Upload submitted Public Form to Box Workflow recipe, you can automatically send your Public Form submissions to your integrated Box account.

🗒️ Note: Access to a Box connection and the corresponding Box Workflows are only available for Team, Advanced, and Enterprise tier accounts.

Send Public Forms directly to your connected Box account as soon as they're submitted with the "Upload Submitted Public Form to Box" Workflow. This assures prompt access to submitted Public Forms via Box for any users who need it.

While setting up this recipe, you'll assign a name to your Workflow. GoFormz recommends that you include the name of the Template associated with your Workflow in your Workflow name.

Use Workflow Variables in the Upload File step (step 5 in the instructions below) to leverage Form data to help manage your Forms.

In the GoFormz web app, access the Workflows tab. When you click Create, you’ll navigate to the Workflow Recipes Library. Next, complete the following steps:

  1. Select the Upload Submitted Public Form to Box recipe.
    You’ll navigate to the Workflow Recipe Builder.

  2. Click the pencil icon next to the default Workflow name.

    Enter a Workflow name.

  3. Establish your Public Form Submitted trigger.
    To do this, configure your Owned By and Template details.

    Click Next.

  4. Configure your Export Form to PDF details.
    This includes the pages you want exported, and a name for your PDF.

    1. Select the Form pages you want exported to PDF.

      Note: If you want to export all Form pages, leave this field blank.

    2. Click Advanced.
      Here you’ll assign your PDF a name in Filename.

      Note: If you choose not to name your PDF, your PDF will adopt the name of the corresponding completed Form.

      Click Next.

  5. Configure your required Upload File details.
    These options include Connection, and Box Destination Folder.

    Note: Do not change the File(s) option.

    1. Select the Connection from the drop-down menu to indicate the Box app connection you want used for your upload.

    2. The Box Destination Folder determines the name of your PDF, and the Box folder where the PDF will be placed.

  6. Click the Activation slider if you want your Workflow active immediately.
    Your Workflow activation status is either Active or Inactive.

  7. Click Save.

Want to verify that your Workflow is set up correctly?

If you want to verify that your Workflow is correctly set up, complete the Workflow trigger you set up in Step 3 above.

Next, navigate to the Workflows tab in the GoFormz web app and click View Jobs. This will bring you to the Workflow Jobs page.

Here you’ll see if your Workflow succeeds. If your Workflow is successful, you’ll see data from your submitted Form in your connected Box account.
