Send a PDF copy of your submitted Public Forms with the "Send an email with a PDF copy of a submitted Public Form" Workflow recipe.

Automatically email a PDF version of a Public Form upon submission with the "Send an email with a PDF copy of a submitted Public Form" Workflow recipe.

In this Workflow youโ€™ll add message body text during your Send Email action. If you want to reference Form or metadata information in your message body, include Workflow variables.

๐Ÿ—’๏ธ Note: You cannot include links in any email or text messages you dispatch from your GoFormz account. This includes any alphanumeric content that resembles a link (ex. abc123.abc).

Open the Workflows tab in the GoFormz web app and click Create to access the Workflow Recipes Library.

Next, complete the following steps:

  1. Select the Email Public Form Submission recipe.
    This opens the Workflow Editor.

  2. Click the pencil icon next to the default Workflow name.
    Enter a Workflow name.

    โ€‹Enter a Workflow name.

    โ€‹Note: Include the Template name used in the Workflow in your Workflow name.

  3. Establish your Public Form Submitted trigger.
    To do this, configure your Owned By and Template details.

    โ€‹Click Next.
    โ€‹

  4. Configure your Export Form to PDF details.
    This includes the pages you want exported, and a name for your PDF.

    1. Select the Form Pages you want exported to PDF.
      โ€‹
      โ€‹Note: If you want to export all Form pages, leave this field blank.
      โ€‹

    2. Enter a name for your PDF.
      โ€‹
      โ€‹Note: If you choose not to name your PDF, your PDF will inherit the name of the corresponding completed Form.
      โ€‹

      Click Next.
      โ€‹

  5. Configure your Send Email action details.
    These details include To, Subject, Body, and Attachments.

    1. To is where you provide the email address(es) of your intended recipients. Separate multiple email addresses using commas.
      โ€‹

    2. Indicate the email subject in the Subject field.
      โ€‹
      โ€‹Note: If you leave this field blank, your subject line defaults to "Message from GoFormzโ€.
      โ€‹

    3. Enter the message of your email in Body.
      Toggle between Editor and Preview modes to review your message and apply changes.
      โ€‹

    4. By default, the Attachments field references your Export Form to PDF step's File(s) output (formatted as #{ExportPDF.fileList}). This attaches your exported PDF to your outgoing email.
      โ€‹
      โ€‹Note: Do not change this field.
      โ€‹

    5. Modify your From Display Name and Reply To Email can be set in the Advanced settings.
      โ€‹

  6. Switch the Activation slider if you want your Workflow active immediately.
    The Workflow Activation toggle displays as Active or Inactive.

  7. Click Save.
