Automatically upload PDF versions of your completed Forms to Box along with Template metadata with this Workflow recipe.
Navigate to the Workflows tab of the GoFormz web app and click Create - the Workflow Recipe Library will appear. Select the Box File and Template Metadata Upload Workflow recipe, then follow the steps below.
Establish your Form Completed trigger by assigning your Completed By, Template, and Form completion configuration details to determine when your trigger initializes.
Choose to activate your trigger when a Form is completed by a specific user or Group using the corresponding Template with the Completed By menu.
With the Template menu you’ll choose whether you want to initialize this trigger when your specified users create Forms based on any Templates, or only a specific Template.
Use the Form completion status checkbox to choose whether you only want this Workflow to trigger the first time a Form is completed, or each time the Forms created from the corresponding Template are modified.
Establish your Export Form to PDF action. Configure the Form ID and Included Pages details to determine your PDF output specifics.
Here your Form ID references the Form from your Form Completed trigger.
Included Pages is where you’ll choose which pages from your Form you want exported to PDF.
Establish your Upload File action.
This is where you specify where in your Box account you want your exported PDF delivered using the Connection, Box Destination Folder, and File(s) details.
The Connection menu is where you’ll select your preferred Box account connection.
Box Destination Folder indicates the delivery folder where you want to send your your received files.
The File(s) detail indicates the files which will deliver to the Box connection and destination folders you selected above.
Establish your Add Template Metadata action. This action maps Form fields to a file in your Box account using a Box Metadata Template.
Your configuration details include Connection, File ID, Box Metadata Template Name, and Box Metadata Template Attributes.
The File ID field is pre-populated because it references your preceding Upload File action.
Specify your Box account’s metadata template in the Box Metadata Template Name field.
Indicate how you want to populate the attribute name in your Box account using the Box Metadata Template attributes.
Use a specific alphanumeric value, or Workflow variables to populate the value with a specific field from your Template.
If you want to activate your Workflow immediately, click the Activation slider.
The Workflow Activation status will display as Active or Inactive.
Click Save.
