Automatically email a PDF version of a Public Form upon submission with the "Send an email with a PDF copy of a submitted Public Form" Workflow recipe.
Use Workflow Variables to reference Form and metadata options in your Workflow actions.
Open the Workflows tab in the GoFormz web app and click Create to access the Workflow Recipes Library.
Next, complete the following steps:
Select the Email Public Form Submission recipe.
This opens the Workflow Recipe Builder.Click the pencil icon next to the default Workflow name.
Enter a Workflow name.
Enter a Workflow name.
Note: GoFormz recommends that you include the Template name used in the Workflow in your Workflow name.Establish your Public Form Submitted trigger.
To do this, configure your Owned By and Template details.
Click Next.Configure your Export Form to PDF details.
This includes the pages you want exported, and a name for your PDF.Select the Form Pages you want exported to PDF.
Note: If you want to export all Form pages, leave this field blank.Enter a name for your PDF.
Note: If you choose not to name your PDF, your PDF will adopt the name of the corresponding completed Form.Click Next.
Configure your Send Email action details.
These details include To, Subject, Body, and Attachments.To is where you provide the email address(es) of your intended recipients. Separate multiple email addresses using commas.
Indicate the email subject in the Subject field.
Note: If you leave this field blank, your subject line defaults to "Message from GoFormz”.Enter the message of your email in Body.
Toggle between Editor and Preview modes to view and apply changes.The Attachments field determines the PDF that is emailed and output in the Export Form to PDF step.
Note: Do not change the Attachments field.Modify your From Display Name and Reply To Email can be set in the Advanced settings.
Switch the Activation slider if you want your Workflow active immediately.
The Workflow Activation toggle displays as Active or Inactive.Click Save.
Want to verify that your Workflow is set up correctly?
If you want to verify that your Workflow is correctly set up, complete the Workflow trigger you set up in Step 3 above.
Next, navigate to the Workflows tab in the GoFormz web app and click View Jobs. This will bring you to the Workflow Jobs page.
Here you’ll see if your Workflow succeeds.
