Set up an “Upsert to Smartsheet Using a Completed Form” Workflow recipe

Update or add rows in your Smartsheet sheet using data from your completed Forms.

Automatically update a row or add a new row to your Smartsheet sheet based on your completed Form with the Upsert to Smartsheet Using a Completed Form Workflow.

The process of updating or adding rows based on their condition is referred to as upserting. In this Workflow you update or add rows based on a key value.

Setting up this Workflow requires that you’ve added a Smartsheet connection.

In the GoFormz web app, navigate to the Workflows tab and click Create to access the Workflow Recipes Library. From the Workflow Recipes Library, follow the steps below.

  1. Select the Upsert to Smartsheet Using a Completed Form recipe.

    You’ll navigate to the Workflow Editor.

  2. Click the pencil icon.

    Enter a Workflow name.

    Note: Include the Template name used in the Workflow in your Workflow name.

  3. Establish your Form Completed trigger by configuring your Completed By & Template details.

  4. Establish your Upsert Row to Sheet action.

    This action requires that you configure your Connection, Destination Sheet, and Sheet Column Mapping.

    1. Connection is a menu listing your available Smartsheet connections. Your Smartsheet connections determine the options available to you here.

    2. Destination Sheet specifies the path to the Smartsheet sheet you want your action to reference.

    3. In Sheet Column Mapping you’ll provide the Sheet Column Name to which you want your data to be mapped. Enter the New Cell Value to determine the data which will populate your corresponding Sheet Column Name.

      Your New Cell Value can be a specific alphanumeric value, or you can use Workflow variables to populate the value with a specific field from your Template.

  5. Click the Activation slider if you want your Workflow active immediately.

    Your Workflow Activation status displays as either Active or Inactive.

  6. Click Save.
