❔ Catch-up quick
Forms can become locked automatically as part of a Form Journey, or manually by an admin. A locked Form cannot be edited until it is unlocked. Admins can unlock any Form at any time.
When a Form locks automatically
Forms lock automatically in the following situations:
Journey step submission — When a Form User submits a Form at a journey step, the Form locks while it moves to the next step. It unlocks automatically once the Form reaches the next step and the assigned recipient takes ownership.
Trigger a Workflow step — If the Lock form during workflow run setting is enabled on a Trigger a Workflow step, the Form locks while the Workflow runs. It unlocks automatically once the Workflow completes.
Send a Form (Public Form) step — If the Lock form once sent setting is enabled, the Form locks once it has been sent to the external recipient.
How to tell a Form is locked
In the Forms list, a lock icon appears to the right of the Form name. If the Form also has an active error, the error icon appears to the right of the lock icon.
Inside the Form Editor, the Form fields are not editable and a locked state indicator is displayed.
What to do if your Form appears locked
If you are a Form User and your Form appears locked unexpectedly, the Form is likely waiting at a journey step or during a Workflow run. Contact your account admin — admins can unlock any Form at any time.
How to unlock a Form (Admin)
Unlocking a Form returns it to its current journey step in an editable state. It does not restart the journey or move the Form backward.
To unlock a Form:
In the Forms tab, locate the Form you want to unlock.
Select the ··· menu to the right of the Form row.
Select Unlock Form.
The Form unlocks and returns to its current journey step. The assigned Form User can now edit and resubmit it.
🗒️ Note: Unlocking a Form does not advance it to the next journey step. The Form stays at its current step and waits for the Form User to fill it out and resubmit.
Forms locked outside of a Form Journey
Forms that have reached Completed status are locked by default. Reopening a completed Form unlocks it for editing. Note that a reopened completed Form returns to the default journey (Draft → Completed) — it does not re-enter its custom Form Journey.
