❔ Catch-up quick
The Trigger a Workflow step is a step type in the Form Journey canvas. When a Form reaches this step, it automatically fires a Workflow you've built in the Workflow Editor. Use it to connect your Form Journey to your existing automation layer without interrupting the journey's flow.
How it works
The Trigger a Workflow step sits on the Form Journey canvas alongside your other step types — Transfer, Approval, Conditional, and Send a Form. You drag it onto the canvas and connect it like any other step.
When a Form reaches the Trigger a Workflow step during its journey, the selected Workflow fires immediately. By default, the journey advances to the next step at the same time — it does not wait for the Workflow to finish.
Two optional settings let you change this default behavior:
Lock form during workflow run — prevents the Form from being edited while the Workflow runs. The Form unlocks automatically once the Workflow completes.
Halt journey on workflow failure — stops the journey from advancing if the Workflow fails. The Form stays at this step until the Workflow succeeds or the Form is resubmitted.
Set up a Trigger a Workflow step
In the Templates tab, open the Template you want to configure.
In the Template Editor, select the Form Journey tab.
Drag the Trigger a Workflow step type onto the canvas.
In the properties panel, under Available workflows, select the Workflow you want to fire.
Once a Workflow is selected, two links appear:
Workflow Editor — opens the selected Workflow directly in the Workflow Editor
Workflow Jobs — opens the Workflow Jobs log for the selected Workflow
Optionally, enable Lock form during workflow run.
Optionally, enable Halt journey on workflow failure.
Connect this step to the next step in your journey.
Save and publish your Template when ready.
🗒️ Note: The Workflow you want to fire must already exist in the Workflow Editor before you can select it here. If you haven't built it yet, set it up in the Workflows tab first, then return to configure this step.
Workflow failures and resubmission
If Halt journey on workflow failure is enabled and the Workflow fails, the journey halts and a Workflow Failure error displays on the Form.
Error message: This form journey has halted because the workflow "[Workflow Name]" failed.
The Workflow Name in the error message links directly to the Workflow Editor so you can investigate and resolve the issue.
To resume the journey after a Workflow failure, either:
Resubmit the Form — the Form User resubmits the Form, which fires a new Workflow job. If the new job succeeds, the journey advances to the next step.
Rerun the Workflow — an admin reruns the Workflow job directly from Workflow Jobs. If the rerun succeeds, the journey advances to the next step.
🗒️ Note: The Form remains locked while a Workflow job is running. It unlocks automatically once the job completes — whether it succeeds or fails.
