GoFormz provides a number of tools to make it easier to find the form(s) that you are looking for. These include filtering by form status, form tag, and form owner; searching by keyword; and sorting by various form attributes.
Different tools are available in the web interface as compared to the mobile app, so we go over the two separately below.
IN THE WEB INTERFACE
In the web interface, navigate to the Forms Tab, which contains a list of all forms available to you. There are many different ways to filter this list.
In the example above, the list is filtered by tag (Casa Palmera Care Center), owner (Sarah Mack), date (this month), and form status (Completed). You can see this by looking at the Filters area above the forms list, which lists all active filters. It is also sorted by the Last Updated column in descending time order — you can see this from the down arrow next to the Last Updated column name. All this filtering narrows down the entire forms list to just two forms, showing the power of filters in helping you find exactly the forms that you need.
In the remainder of this section, we review how to apply the various sorts, searches and filters shown in this example — as well as how to clear your filters to go back to the full unfiltered forms list.
Sorting
Sort the forms list by the Form Name or Last Updated column. Click a column header to sort by that column. Click it again to switch between ascending and descending order. The Form Name column will sort alphabetically, and the Last Updated column will sort in time order.
Searching
Use the search bar at the top of the page to find forms by name. Type your search term and press Enter. GoFormz shows every form with that term in its name.
Enterprise accounts: Account admins on Enterprise plans have access to an expanded search. Click the search options icon next to the search bar to choose what you're searching:
Form Name — the standard name search described above
Field Values — searches the actual data entered into form fields, not just the form's name
Attachments — searches attachment file names
All three are selected by default, so a single search checks form names, field values, and attachment names at once.
Filtering
Your filters live in a bar above the forms list, so you can always see what's applied without opening a separate panel.
Available filters:
Time Period — Filters forms by their Last Updated date. Defaults to Last 90 days when you open the page.
Status — Filters by form status.
Owner — Filters by the form's current owner. Select owners from the dropdown, or start typing the owner’s name to filter the dropdown.
Tag — Filters by tag.
Template — Filters by the template a form was created from.
To apply a filter:
Click Filter in the header.
Select the filter type you want (Time Period, Status, Owner, Tag, or Template).
Choose one or more options from the dropdown. Status, Owner, Tag, and Template all support selecting more than one option at once. Time Period supports one selection at a time.
Once you've selected a filter, it appears in the Filter bar. If you selected more than one option for a filter, the bar shows the number of selections instead of listing each one — for example, Tag +3.
To change a filter's selections later, click the filter in the bar to reopen its dropdown.
Clearing your filters
To clear all filters, click Reset in the Filter bar. This returns every filter to its default — including Time Period, which returns to Last 90 days rather than clearing entirely.
To clear a single filter, hover over it in the Filter bar and click the X that appears.
Note: The Time Period filter is always active — you can change it, but you can't remove it entirely. Last 90 days is the default every time you open the Forms tab.
Saving and using filter bookmarks
If you find yourself applying the same filters over and over, save them as a bookmark. Bookmarks are specific to you — other users on your account won't see the ones you save.
Saving a bookmark
Apply the filters you want to save.
Click the bookmark icon next to the Filter bar.
Select Save bookmark.
Enter a name for your bookmark, up to 50 characters.
Click Save.
Your bookmark saves the exact filters you had applied. Select it any time to reapply those filters instantly.
System bookmarks
GoFormz provides one built-in bookmark:
Assigned to me — Filters to Last 90 days, Status = Draft, Owner = you.
Saved bookmarks
Any bookmark you save appears under Saved bookmarks. This section is hidden until you save your first bookmark.
Managing your bookmarks
Hover over a bookmark to reveal an actions menu with two options:
Make Default — Applies this bookmark automatically every time you open the Forms tab. A bookmark can only be set as default if it doesn't use the All Time date filter.
Delete — Removes the bookmark. This doesn't affect any forms — only the saved filter combination.
IN THE MOBILE APP
For a detailed review of how to search and filter your forms in the mobile app running on your specific mobile platform, refer to our Mobile App User Guide. Below is a brief summary.
Navigate to the Forms List, which displays all your forms. Here, you have the following tools available to find the specific forms you are looking for:
To view forms by form status, use the blue Draft, Completed, and Shared buttons along the top of the forms list. Shared forms are drafts that have been shared to a user group, but no individual in the group has claimed ownership.
To search on form name, click the Magnifying Glass icon at the top, enter your search term in the field that appears, and tap Search. You will see a list of all forms that contain your search term in their name. Click on a form name to open it, or click the X icon in the search field to dismiss the search.
To sort your forms by Name or Date, click the Sort icon at the top, then select how you want to sort (by Name or by Last Modified date).
Note: The search and filter tools in the mobile app are not as advanced as those in the web interface, because the primary purpose of the mobile app is to fill out forms — not to search and review them.
